Overview:
The primary responsibilities for this position are:
- increasing community engagement through a multi-faceted volunteer program
- increasing community and staff engagement via events on our campus and in the community
- assist with writing posts and taking photos for social media
- coordinate team efforts to steward donors and volunteers
- coordinate tracking and follow-up for potential capital fund-raising campaign
The position reports to the Chief Philanthropy and Mission Advancement Officer. You would be joining a talented, energetic, and passionate four-person team that includes a full-time Volunteer Manager, Communication and Event Manager, and Major Gift Manager.
Volunteer Program
The Development Coordinator builds loyalty among an existing strong volunteer base and recruit new volunteers. Organizes on campus and community activities for volunteers. Refreshes Volunteer Handbook to incorporate changes to agency visitation policies and programs as needed. Creates Volunteer Impact Report.
Roles include securing in-kind donations, managing collection of goods and services, gifts and food baskets, and managing volunteer opportunities like Reading Partners and Carnivals. Assists with volunteer appreciation and teacher appreciation activities. Coordinates job assignments for volunteers during special events. Coordinates on campus work days and social skill building activities for residents. Works closely with the clinical team to provide opportunities for on and off campus social skill building activities for Windwood Farm clients. You will provide photos of volunteer events for publication.
You will embrace the importance of volunteer stewardship by thanking volunteers and in-kind donors promptly in writing and by carefully nurturing volunteer engagement. Must be willing to represent Windwood and present information about volunteer opportunities to civic groups, businesses and faith- based organizations. You will also provide Windwood Farm tours.
Special Events
The Development Coordinator will assist with on and off campus event planning, coordination and event follow up. You will manage the Event Calendar for the Brian M. Carmody Pavilion on campus and be the lead development team member for pavilion events. You will make sure that all groups using the pavilion understand the rules and responsibilities for event set-up and clean up as well as understanding abiding by Windwood policies.
Social Media
Working with our Social Media Manager, you will assist with creating consistent, meaningful content about our volunteer program for social media platforms, including writing social media posts, and taking photos of on and off campus events. All content will comply with HIPAA guidelines, Windwood policies and development team policies and procedures.
Stewardship
- Assist with individual donor stewardship including acknowledgement letters, thank you cards, and donor appreciation.
- Support and track donor communications.
- Assist with donor and volunteer database input, management and reporting
Capital Campaign
- Track and coordinate internal campaign pledge reporting.
- Updating donor and volunteer database
- Coordinating campaign calendar which includes scheduling internal and external meetings, and coordinating meeting details
- Producing weekly/monthly campaign schedules for internal stakeholders
- Provide overall campaign administration coordination

Requirements
- Bachelor’s Degree
- 1-2 years of experience in the nonprofit field
- Excellent interpersonal and communication skills
- Highly organized and acute attention to detail
- Able to multi-task and meet deadlines
- Fast learner
- Solid computer literacy and skill in using the internet for research
- Analytical and comfortable working with databases
- Comfortable working independently and in a team environment
An ideal candidate may also have:
- Experience in inpatient and outpatient mental health or medical practice settings preferred but not required
- Excellent verbal and written communication skills.
- Knowledge of photography and basic photo editing
- Must be flexible in work hours in order to meet resident and organizational needs
- Must be available to work two Saturdays a month
- Must be able to address and prioritize multiple task demands within established timeframes.
- Experience using Google and Microsoft office
- Experience with donor and volunteer database software is helpful, but not required.
- Excellent multi-tasking and time-management skills, with the ability to prioritize tasks
- Ability to work in a fast-paced environment
- This job requires working outdoors leading volunteer teams in projects that can be physically demanding
SALARY RANGE:
$50,000 to $55,000 with benefits. 40-hour work week with 30-minute mandatory break i.e. 9 am – 5:30 pm. 20 Paid Days Off (PDO), 11 agency-designated holidays, and 6 personal days.
