Fundraising and Community Engagement Specialist

Overview:

The Engagement and Development Specialist is responsible for building and strengthening Apalachee Center’s visibility, relationships and grassroots support throughout the Big Bend region. This role focuses on coordinating community outreach efforts, cultivating partnerships with local organizations and supporting fundraising initiatives that engage the public. Essential/Core Job-Specific Duties And Responsibilities

Partner Relations & Collaboration

Cultivate and maintain relationships with key community partner organizations, agencies, and institutions. Maintain and grow relationships with current agency partners while actively seeking new partnership opportunities
Schedule and participate in meetings with partners to discuss referrals, collaborations, co-hosted events, and strategic opportunities.
Identify and pursue new partnership opportunities that align with Apalachee Center’s mission and services.

Small-Dollar Fundraising & Community Campaigns

Plan and execute small-scale fundraising initiatives such as restaurant share nights, peer-to-peer social media campaigns, and community-based fundraising drives.
Collaborate with the communications team to promote campaigns and engage the public in giving opportunities.
Track donor engagement and provide reports on campaign performance and participation.

Support for Annual Fundraising Event

Assist with planning, logistics, and community engagement elements of Apalachee Center’s annual signature fundraising event.
Recruit and coordinate volunteers, manage outreach to community sponsors or in-kind donors, and support marketing and promotional efforts.
Participate in event-day execution and post-event follow-up.

Community Outreach & Tabling Coordination

Schedule and coordinate staff participation at community events, health fairs, and outreach tabling opportunities.
Maintain a calendar of upcoming community events and ensure appropriate staffing, materials, and logistics are prepared.
Track participation, outcomes, and impact of community presence efforts.

Qualifications
 Bachelor’s degree in public relations, communications, marketing, nonprofit management, or related field preferred
Minimum 2-3 years of experience in community engagement, event planning, nonprofit fundraising, or related roles
Experience working with underserved populations and community organizations is highly valued
Knowledge of the Big Bend region and local networks is a plus

Licensure or Certification:

Must possess a valid Florida driver’s license

Key Responsibilities

Fundraising & Donor Engagement

· Design, direct and manage a comprehensive annual fundraising program with two broad campaigns and several smaller, targeted campaigns.

Associate Director, Donor Relations

Stewardship, Recognition and Engagement

  • Create and implement new principal donor standards, practices and procedures aimed at stewarding, celebrating, thanking and engaging donors in unique and customized ways.
  • Regularly collaborate with the Principal Gifts team and other leaders across Florida State University to develop and manage personalized donor relations plans for major and principal donors. This includes creating tailored impact reports and identifying and implementing distinctive and creative ways to recognize and engage these donors.
  • Oversee complex stewardship and recognition projects that often include multiple deliverables.
  • Develop efficient and effective systems to monitor and manage individual donor plans proactively.
  • Assist with the collection of data, written reports and other materials as needed to steward gifts.

Donor Communication

Hospitality and Donor Experience

  • Manage the planning and execution of donor experiences in athletic suites for multiple sports, ensuring premium hospitality, engagement, unique experiences, and stewardship of high-level donors.
  • Manage the selection, procurement and distribution of unique donor gifts, ensuring high-quality, personalized items that align with the donor engagement strategies.
  • Organize and execute timely, meaningful follow-ups with donors in the athletic suites, ensuring continued engagement with the principal gifts team and development officers. This position requires availability for some evenings and weekends to support donor experiences in athletic suites. Some travel may be required for limited off-campus events or professional conferences.

Administrative Tasks

  • Maintain accurate and up-to-date records of donor interactions, preferences, stewardship plans, engagement plans and other information in the constituent management system. Utilize data to inform and enhance donor strategies.
  • Document new departmental processes and procedures and update existing ones to ensure consistency and efficiency.

Qualifications

Leadership Annual Giving Officer, South Florida

The leadership annual giving officer will operate in a regional environment – specific to South Florida (including Monroe, Miami-Dade, Broward, and Palm Beach counties). Using a multi-channel approach, the giving officer will focus on strategically expanding Florida State University’s philanthropic presence with the goal of significantly increasing the base of annual gifts through frontline fundraising and will work closely with leadership giving groups – including alumni, friends, parents and families. Annual Giving Solicitation

  • Discovery, qualification, cultivation, solicitation, and stewardship of prospects capable of making annual gifts of $5,000 and up.
  • Build and maintain a portfolio of up to 250 prospects and schedule meetings (in-person and virtual) with them and other discovery meetings.
  • Leverage face-to-face and virtual meetings, phone calls, emails, video, text, university events, and other contacts to build relationships and increase support from prospects.

Documentation/Planning

  • Scheduling prospect meetings, maintain a portfolio of leadership annual gift donors, and properly document in CRM all engagements
  • Actively engage and build relationships with a portfolio of current donors and prospects
  • Effectively move leadership annual donors through the pipeline, working with major gifts development teams, as appropriate.
  • Utilize dashboard tools, data analytics and partnership with Annual Giving team as well as other internal colleagues to identify donors for targeted outreach and achieve metrics

Stewardship

Assistant Director, Gift Services

Contributes to the integrity and management of advancement information by assisting the Program Manager/Foundation Director of Gift Services in overseeing the workflow and accuracy of the department. This position is expected to uphold and exemplify the operating practices and mission of the Division of University Advancement.

Manage Team

Assists with the hiring, training, and evaluation of a team of gift specialists. Instills in the Gift Services staff a holistic view of the role of Gift Services within the Division of University Advancement. Acts as a secondary point of contact for the department when the Director is unavailable or as delegated by the Director. In conjunction with Production Coordinators, oversees daily workflow of entire department and delegates to staff as needed to ensure deadlines are met so that donors get proper stewardship, Accounting is able to disburse funds in a timely fashion, and reports are as up-to-date as possible. Monitors accuracy and production of staff, provides guidance and training as needed. Responsible for assisting in the training of the Gift Specialists. Responsible for assisting in the development and execution of a cross-training plan for the Gift Specialists. Identifies and manages large-scale gift projects through the use of research of possible solutions, investigation and testing of possible implementation methods, and selection of the best approach.

Manage Gift Agreement and Grant Review Workflow

Oversees the donor gift agreement and grant review process. Reviews gift agreements and grants for spelling and grammar, policy and procedural issues, CASE and IRS guidelines, and other requirements both from a charitability and campaign counting perspective. Ensures the timely routing of gift agreements and grants to other reviewers in the process. Routes through DocuSign to collect signatures. Manages tracking documents and sends weekly reports to leadership regarding the status of all gift agreements in the review and signature process. Facilitates due diligence and additional routing for naming opportunities.

Liaise with Other Departments and Campus Units

Communicates effectively directly with fundraisers, campus contacts and donors. Corresponds with high level of written and verbal proficiency. Assists in overseeing Gift Services events operations. Assists in reviewing gifts-in-kind, donor solicitations, and other documentation. Provides training to staff as needed. Responds to department inquiries received via a variety of channels.

Review and Analyze Data

Reviews gift and event batches processed by staff in Gift Services for accuracy as needed when Production Coordinators need assistance to meet deadlines. Reviews acknowledgement letters and other correspondence to ensure accuracy of information being provided to donors for their taxes and proper stewardship. Performs queries in the database and is able to export and manipulate data for reconciling, reporting and investigative purposes. Prepares pledge reminder files and other monthly data lists. Protects confidential information.

Record and Adjust Complex Gifts

Advanced gift entry to include complex data manipulation and import methods, and extensive knowledge of estate gifts. Adjusts complex gifts and events as required to meet donor needs and campus financial deadlines.

Maintains information in a variety of formats including network files and digital images. Creates and updates donor database records, records gifts, edits acknowledgement letters and other donor correspondence as needed to fill production gaps.

Senior Associate Director of Development, Anne Spencer Daves College of Education, Health & Human Sciences

Responsibilities

  • The Senior Associate Director of Development for the Anne Spencer Daves College of Education, Health, and Human Sciences will design and execute a personal solicitation program resulting in philanthropic support by maximizing the identification, qualification, cultivation, solicitation and stewardship of prospects for gifts at the $100,000 and up level. This individual will secure, on an annual basis, private support at the major gift range and will also be responsible for identification of potential major gift prospects.   • Prepares proposals and gift agreements as required for proper gift documentation. Prepares correspondence with prospects and documents communications, solicitation activity and gift information in compliance with Foundation reporting guidelines. Creates, inspires and maintains donor loyalty, interest and enthusiasm through stewardship communication and activities designed to express recognition, appreciation and the impact of their gift(s). Establishes new relationships resulting in philanthropic investment, maintains existing relationships, which may generate new philanthropic investments, and provides prospect/donor-related assessments and feedback for the COB and the Division of University Advancement. Identifies, qualifies and sustains a donor prospect portfolio with individuals who have a giving capacity of $100,000 or more. Secures gifts and pledges from alumni, parents, faculty, staff, and friends of FSU.
